Introduction

The project profile is where you can see all information relating to a project.

The project profile has the following tabs:

  • Details – information about the project, including client, address, etc.
  • Overview – an overview of project information, including financial information and client feedback.
  • Documents – all documents relating to a project.
  • Jobs – view all jobs and recurring jobs associated to a project.
  • Deliverables – A list of all deliverables associated to a project.
  • Invoices – view and add invoices and credit notes.
  • Purchases – view and add payments, purchase orders and contract agreements.
  • Allowances – view and add allowances for workers working on the project.
  • Equipment – add equipment to a project.

Project Status

The project status tile provides a summary of key metrics for each project. This feature helps project managers and stakeholders quickly assess the current status of a project, including its financials and workload. This tile is visible on the right-hand column of the project view.

Below is an overview of the information displayed in the project status tile:

Project Value

Estimated: The value entered by the project manager in the ‘Estimated Project Value’ field.
Actual: This is calculated by adding the total amount of deliverables that have been invoiced to the value of any work that is still in progress (WIP).
If no deliverables are invoiced: The system will use the estimated value of the job as the WIP value.
If all deliverables are invoiced: The system will add the value of any deliverables that haven’t been invoiced yet to the WIP value.

Workload Overview (hours)

Estimated: Sum of all the jobs estimated hours.
Actual: Total amount of productivity against the project.

Billed Amount Overview

Estimated: Sum of the productivities charge out rate. This is based off the charge out rate of people’s employment details and the number of hours they have put towards a project.
Actual: As with project value actual, this is calculated by adding the total amount of deliverables that have been invoiced to the value of any work that is still in progress (WIP).
If no deliverables are invoiced: The system will use the estimated value of the job as the WIP value.
If all deliverables are invoiced: The system will add the value of any deliverables that haven’t been invoiced yet to the WIP value.


Other Features

Project Overview

People in ‘Senior’ positions are also able to see an overview of the project in terms of how much of the project has been completed by how much has been billed vs expected value.

Individuals holding ‘Senior’ positions can also access a summary of the project progress based on the amount billed vs the expected value.

Adding Project Contacts to a Project

In the profile, you can add project contacts to the project:

  1. Navigate to app.thebossapp.com.au/home
  2. Click “REGISTERS”
  3. Click “Projects”
  4. Select the project to which you want to add a contact.
  5. Click on the link for the primary contact of the project.
  6. Click “Contacts”
  7. Click “ADD CONTACT”
  8. Fill the clients details into the form.
  9. Click “Save”

Using a Project Template

The project can be used as a ‘template’ to create other projects.

The Project Audit Tab

The Project Audit Tab keeps a history of any changes made to the details page of a project including any updates to the ‘Required Project Information’ section.

Each set of saved changes will appear in the audit log table with a unique assigned ID:

Each row can be clicked into to view the details of what was changed.

The overview tab lets you know who made the change, the type of change and when it was changed.

The property changes tab lets you know which field was changed along with the original and new values of that field.
