Using the QA System in theBOSSapp

The Quality Assurance (QA) system in theBOSSapp allows organisations to categorise, standardise, and review project data to ensure quality and compliance. This guide will help you set up and manage project types and forms to suit your organisation’s needs.

Project Types

The Project Types page allows organisations to categorise projects, enabling specific project forms to be applied within the QA system.

  1. Define a Project Type: Enter a descriptive name for each project type in free text, such as Structural or Geotechnical.
  2. Apply Project Types: Each project type categorisation helps tailor QA forms to ensure relevant information is gathered.

Project Forms

The Project Forms feature allows organisations to ensure accurate information capture by structuring forms according to project requirements. These forms are organised based on Project Types.

  1. Form Name: Enter a name that describes the purpose of your project form.
  2. Division: Select the relevant division in your organisation to align the form with internal structures.
  3. Project Type: Choose from previously defined project types to specify the form’s application.
  4. Job Type: Select the job type associated with this form. This includes all standard and custom job types available in your organisation.
  5. Price Band: Assign a price band to specify the form’s applicability to projects with certain estimated values. Add additional price bands as needed by using the Add Price Band button.
  6. Custom Fields: Use the form builder to tailor fields according to project needs. For detailed guidance on using the form builder, refer to the Custom Jobs Documentation.

Price Bands

Price bands in the QA system determine when a project form can be applied based on the project’s estimated value. Price bands can be set to:

  • Not Applicable: The form is available regardless of the project’s estimated value.
  • Optional: The form can be added if the project’s estimated value falls within the specified price band, but it is not mandatory.
  • Required: The form must be included if the project’s estimated value matches the price band, ensuring critical information is captured.

When a project’s estimated value aligns with a form’s price band setting, the form will be either required, optional, or unavailable, based on the price band setup.

Adding QA Forms to Projects

To add a QA form to an existing project, follow these steps:

  1. Navigate to the Details tab under the QA Forms tab.
  2. Select the relevant Project Type and Division for the project.
  3. The selected QA form will now be available to fill out under the Jobs tab within the QA Forms section.

The project form will be available to add provided it has the same division and price band as the project within the forms setup.
